Meetings And Forums

Recognising that everyone involved in Cuboree is a volunteer, we keep meetings to a minimum.

Cuboree meetings should be purposeful, efficient and well managed. We use communication technology such as Skype and Teleconference to ensure participants from remote areas are involved without the need to travel.

Official Cuboree meetings include:
Cuboree Steering Committee Meetings
Steering Committee meetings are held quarterly via teleconference in the evening on the first Wednesday of January, April, July and October. They last one hour. Minutes of these meetings are stored in the SharePoint Governance Directory and are accessible to all team members. The Project Executive is the chair and manager of the Steering Committee business. Steering Committee Members and their specialist invited guests attend.

Cuboree Executive Committee Meetings
Executive Committee meetings are held monthly via Skype in the evening of the first Tuesday of each month. They last one hour. Minutes of these meetings are stored in the SharePoint OneNote application and are accessible to all team members. The Chief Director is the chair and manager of the Executive Committee's business. Cuboree Directors and their specialist invited guests attend.

Cuboree Unit Co-ordinator's and Team Meetings
There is one meeting planned for all Cuboree Unit Co-ordinators and Cuboree Organising Team members on Saturday 29 and Sunday 30 July 2019 at Bundilla Campsite, Winston Hills, Sydney. Cuboree follows the Patrol system, so we do not hold other large format, all-in meetings. Instead, each team conducts their own meetings and feed back through their Patrol Leader.

Team Meetings
Each Directorate and Team organises their own team meetings according to their own cadence. The Team Leader reports through to their supporting Team.

Participation in other forums
The Chief Director and Governance Director (in their role as internal support director) regularly attend other forums to represent the event, including:

  • The State Cub Council to provide feedback on planning progress and to receive guidance from the team on their needs
  • The State Cub Youth Council
  • The Chief Commissioner's Council
  • The State Youth Program Team meetings

In addition, we regularly create our own forums for discussion such as Q&A forums, online discussions and surveys, Facebook pages, etc.
